What does an efmnhrepatriation (Consultation) record represent?

A Consultation module record documents an interaction between Field Museum Staff and/or external individuals. The main purpose of the interaction being requests for access to, or information about, specimens and artifacts.

A Consultation may lead to the creation of an Event record to document the products (virtual or not) of an interaction.

Record Types:

All Departments

  1. Info Request - Requests for specimen lists, localities, georeferencing, document scanning requests, answering questions eg "Is something is in the collection?", requests for field notes, data collection (measurements, tooth counts, etc.) from specimen. May include photography as part of the request.
    • Purpose (ResPurpose):
      • Object Identification
      • Object Locate
  2. Meeting - for in-house meetings related to collections, for example: Anthro Acquisition Committee meetings.
  3. Non-Research Visit - for visits not involving the academic use of specimens/collections/library, e.g. - school groups, students, artists, tour groups, handling of teaching collections
  4. Photo Request - where the primary purpose of the request is that a member of staff eg in-house photographer, collections staff or contractor see eparties workflow photographs objects/specimens/collections.
    • Purpose (ResPurpose):
      • Special Event - for a photography request for an event. Used by special events staff mainly.
      • Object Documentation - for photography request of collections objects or specimens.
  5. Research Visit - For visitors who come to [scientifically] work using specimens or other collections or library material. Handling of research collections.

Repatriation Group

For the Repatriation Department, there are 3 different consultation module record types:

  1. Interaction - Interactions between FMNH Repatriation staff and external individuals includes correspondence and communication.
  2. Repatriation Request - Formal requests from tribes or organizations for the repatriation of collections.
  3. Visit - Repatriation visits are named visit.

  • When InfRecordType = Interaction, the following Interaction Type (IntInteractionType) values also switch tabs:
    • Inventory - A collections inventory shared with a tribe or organization.
    • Summary - A collections summary report shared with a tribe or organization.
    • Traditional Care - Shared information from a tribe or organization about traditional care procedures for collections.
    • Email / Fax / Inter-Office Memo / Letter / Phone Call - Correspondence between FMNH Repatriation and external individuals.

STRUCTURAL CHANGES - Rationale

Reason(s) for Change Request [version 3]

Standardize the use of the module to make it more efficient and reflect consolidation of internal processes and workflows. Prepare for newer versions of EMu by not transferring bad data structures and dirty data.

Details

  • Consolidate feature set, functionality and links across record types e.g., Info Requests and Photo Requests
  • Reduce redundancy in data structure. Remove duplicated fields, especially parties attachments across record types.
  • Fix existing issues. Add additional rows to object tables.
