User‐Guide: Nextcloud 28
Liquid investigations uses two technologies to handle documents:

Hoover, requires the assistance of your sysadmin, who will index and make a collection of documents searchable and sharable for you. Ideal for larger documents collections.

Nextcloud28, requires one admin user per each news outlet to upload and create group files. Ideal for uploading and sharing smaller collections of documents that can be managed manually.
Integrating Nextcloud28 group folders into Hoover offers significant advantages, particularly due to Hoover's faceted search and OCR capabilities.
Caveat:
- Only Nextcloud28 group folders can be pulled into Hoover!
- Only admins can change group folders!
You will automatically land on the ‘All files’ view. Here you will see two types of folders:
Individual (personal) folders can be easily created by clicking the + New button; Individual folders are private user folders and can’t be shared. These folders are not integrated with Hoover.
Caveat: When naming folders, please use only ASCII characters
Group folders (require admin privilege to be created); These are project folders. ONLY these folders can be shared and are connected to Hoover.

To create group folders please follow these steps:
- Ignore the group folders tab on the left hand menu and go instead to your User icon on the right top corner and click on ‘Admin Settings’
- Go to the Admin > Overview menu and click on Group folders there.
- Type in the name of your group folder and hit the ‘Create’ button
Caveat: When naming folders, please use only ASCII characters
- Assign to your group folder the group or circle permissions you want by choosing the relevant groups from the group/circle drop down menu.
Caveat: If you don’t assign permissions, your group folder will not appear in the ‘All files’ view.
To create user groups please follow these steps:
- Go to your User Profile on the top right corner > Users and click on the Groups +
2.Create the group of your choice, go to the ‘Active users’ tab and assign them to the group you want, by clicking on the pencil icon.
To upload files or directories into your folders go to the ‘All Files’ view and hit the +New button and then Upload files. Directories can be selected by using drag and drop.
In the ‘All Files’ view, click on the +New button to open and choose various office type documents. An office like an editor will pop up.
Caveat: If you just created a new document and try to open it for the first time, you might encounter an error message. This is a known bug and can be fixed by just opening the file again.
Users can upload files into a group folder and a user admin can create a Hoover collection from that folder. It is possible to have many group folders for different groups. After the admin has added the collection to Hoover, it works like any other collections using Hoover.
Below are the detailed steps to do so:
An admin user will create a one-time per account token to link Nextcloud28 with Hoover
- Go to Nextcloud28 > User Profile > Admin Settings > Security > Devices and sessions
- Type in the ‘App name’ box your name
- Click on ‘Create new app password’

Go to the Hoover admin page

Click on Users and choose your admin user name (eg. admin.timișoara)
- Scroll down, copy paste the newly created app password (eg. NYAa3-P3A3o-7AmmT-JftRz-RGmfb) in the Web Dav field & click ‘Save and Continue’
Caveat: When creating the Web Dav password, the Nextcloud28 group folder(s) associated with the admin user are added to the Hoover Nextcloud directory after 5 mins
Please follow these steps:
- Go to Hoover >Nextcloud Directories to check if the group folder of your choice (eg. GroupFolderAndreea) was added.
- Go to Hoover > Nextcloud Collections and hit the +Add button to add your collection
- Name your collection similar to your NextCloud group folder, choose the appropriate directory and and click ‘Save and Continue’
Caveat: Hoover collection names need to be lowercase alphanumeric and at least 3 letters; Currently when selecting the directory the UI doesn’t show you the full name. This is a bug (Issue #1205)
- Go to Hoover > Collections, find your collection, give it a descriptive title and edit access controls.
- Congrats, your NextCloud28 group folder is now a searchable collection in Hoover!
Caveat: Wait 5 mins for your folder to appear
