Dependencies

  • The research plan's interview recordings folder has been created on Internship - PII's "My Drive"

Overview

We need to set up a few spreadsheets and a folder for RP023's Intern Application interview transcripts so that we can move on to transcribe the interviews.

During these tasks you will be asked to add link to the Resources/Instructions section, and that section is at the bottom of this issue (go view it now).

Another tip is to use split browser windows side by side when working on any GitHub issue, so you can edit the issue on one window, and check the resources or click through links on the other window to avoid a lot of back and forth. Make sure to refresh both windows to reflect any changes you made, including updating the issue or checking the boxes on one of them.

Action Items

  • UX lead asks admin to add the team member working on this issue to the 1Password internship-UX's vault so that they can have access to internship-UX's email and other software account information in case they need it.
  • UX lead adds the assignee to the Internship - PII's "My Drive" as a Content Manager so that they have access to internship - PII's My Drive where the recordings and transcriptions with PII are stored.
    • UX lead accesses the Internship - PII's "My Drive"
    • Choose "Manage members", which is located towards the top right side of the browser Screenshot 2023-08-09 at 6 09 36 PM
    • Enter the assignee's email address and select the role as "Content Manager"
    • Confirm with the assignee that they have access to the Internship - PII's "My Drive"

Customize Resource Links

  • Customize Resource for Wiki Page Link

    • Go to the wiki page: Research Output Overview (Resources # 1.01)
    • Find relevant wiki page for RP023
    • Copy the link for the wiki page
    • In Resources # 2.01, place the link you just copied between parentheses at the end of the line with no space in between the right bracket ] and the left parenthesis (, so it turns into a hyperlink

  • Customize Resource for this Research Plan's Google Drive Folder

    • Open the Google Drive's Research by Plan # and Name Folder (Resources # 1.02)
    • Choose the RP023 folder
    • Copy the link of the RP023 folder

      2. Choose "Share"
      3. Choose "Copy Link" and "Done"

    • Choose TWE Interview Recordings by Plan # folder in Internship - PII's My drive (Resources # 1.05)
    • Locate the video recording folder for RP023 inside the folder TWE Interview Recordings by Plan #
    • Copy the link of the video recording folder for RP023

Set Up A Folder for De-identified Transcripts in the RP023 folder (Resources # 2.02)

  • Go to RP023 folder (Resources # 2.02)

  • Name the "New folder" by copying
RP023 De-identified Transcripts
  • Paste the text you copied into the folder name
  • Copy the link of the folder

    2. Choose "Share"
    3. Choose "Get link"
    4. Choose "Copy Link" and "Done"
  • Paste the copied link into parentheses at the end of the line in Resources # 2.07
  • Choose "Update comment" in GitHub and make sure all the checkboxes above have been checked

Rename Uploaded Recording Video Files If Needed

  • Go to the interview recording folder linked in Resource # 2.05
  • Make sure each recording video file in the folder is named as RP023-UX Researcher Abbreviation###-Intern Abbreviation###
    • If the recording video files are not in the format above, please rename the recording files in the format above first before taking any more actions
    • An example looks like this: RP006-U007-I001.mp4, which means this is an interview transcript for research plan 006, conducted by UX Researcher 007, and the interviewee is Intern 001
    • In case if you would like to double check to ensure the accuracy of the interviewer and interviewees' numbers, both UX Researcher Abbreviation### and Intern Abbreviation### can be found in the session table tab of TWE: IS22: RP023: Intern Application Interview Roll Call and Session Table in RP023 folder (linked in Resources # 2.02)

Update the wiki page for this research plan (Resources # 2.01)

  • Open the link in Resource 2.01
  • Find the "Interview Recordings & Transcripts" section
  • Copy and paste Resource 2.07 (both the text and URL) into the "Interview Recordings & Transcripts" section
  • Choose "Save Page"

Review and hand off

  • Review with UXR Leads on the spreadsheets, de-identified transcript folder setup, renamed recording files, and updated wiki section
  • The assignee checks in with UXR Leads to create new issues for transcribing the interview recordings if needed
  • UXR Lead or PM removes the assignee from the Internship - PII's "My Drive" when closing the issue if the assignee does not need to access the Internship - PII's "My Drive" any longer
  • Product sign-off

@mh-faraji All the resources gathered from 2.01 to 2.07 look good. Appreciate your work!
One thing I did notice was that the intern application interviews' files were not renamed in the RP###-U###-I### format.

  • I found the IS22 intern roster here. Would you please double check and see if the interns' name and number could match? No need to edit the file names until we can match each person.
  • Would you also watch the first 5 mins of each video and see who the interviewers were? Please list out the interviewers and we can check with Product to see how we should proceed. I am thinking either using U000 or give each person a specific number if they were not the same researchers conducted the intake and exit interviews. Intake interviews RP006 and exit interviews RP012 have roll call and session table for both the interviewer and interviewee information in their research plan folders.

@pandanista,

  • I checked the interns' names and numbers. Only one person was missing from the IS22 intern roster, so I added his name to the roster and assigned him number 12.

  • I also watched the first few minutes of the interviews. There are six interviewers. Where should I list them? They are not the same researchers who conducted Intake interviews RP006. I couldn't find the roll cal file for PR012 to see if they are the same.

  • RP012's roll call and session table is here.
    • I just moved it to the RP012's recording folder on PII drive.
  • Since there are more than one interviewer, let's create a roll call and session table for RP023 using this template.
    • Would you please save the roll call and session table you will create in the RP023's interview recording folder in the PII drive? Thank you.
    • In the roll call table (first sheet), assign the interviewers numbers, like 001, 002, 003,
    • In the session table (second sheet), fill out any session info if we have any.
    • I took another look at RP006 and RP012's roll call, and realized the UXR numbers are not consistent, unlike interns. So, UXR 005 in RP012 could be UXR 012 in RP006. No need to worry about avoiding the existing numbers in this case.

I saved the roll call and session table I created in RP023's interview recording folder on the PII drive and assigned the interviewers numbers 1 to 6, but I couldn't find information about the date and time of the recordings to fill out the session table.
